The office of Mike Tschee, a clerk in the building department and the driving force behind the digitalization of these tasks, is a hive of activity today. Mike Tschee, who has also been working for the building yard for three years, has not only introduced the EineStadt digital system for managing public objects such as garbage cans, benches and green spaces. He was also the one who came up with the idea of digital performance recording.
“It used to be a mess,” he reports as he explains the new app to his new colleague Kevin Micke, a 21-year-old trainee administrative assistant. “Every Monday, I spent an entire day evaluating our employees' analog timesheets and transferring them to Excel. A whole day - which we now save.”

The previous performance recording in Lienen's building yard was analog and time-consuming - a problem shared by many cities and municipalities. “Some building yards still work entirely with slips of paper, others have programs that are far too complex. EineStadt is a good solution: simple, flexible and modularly adaptable,” explains Mike Tschee, who attaches great importance to ensuring that even less tech-savvy employees can quickly familiarize themselves with the system.

The new tool not only saves time, but also money. Mayor Arne Strietelmeier, who was instrumental in supporting the introduction of the app, sees great potential in this: “It's not just several thousand euros that we save every year by eliminating manual data entry - it's also about better organization. Step by step, we want to further digitalize our municipality without overburdening our employees.” He knows that it can be a change for older employees in particular, but also sees the advantages: “Employee satisfaction is high and the app is designed in such a way that no one is overwhelmed.”

Kevin & Mike are out for work in the community
After Mike Tschee has explained the basic functions of the app in the office to new apprentice Kevin Micke, the two of them set off. Checking and maintaining public green spaces is on the agenda today - a particularly important task in spring and summer, when the municipality's parks and green spaces are in full bloom. “Digitalization also helps the environment in the long term,” says Kevin as he checks the route in the app. He is convinced that digitalization and working with a smartphone also offer advantages in his job. “Planning is more efficient and everything is documented directly. That saves paper and resources.”

The app uses a pin on the digital map of Lienen to show Kevin directly which green spaces in their zone need to be maintained. Today, a public flower bed around a memorial stone is on the plan. Mike explains: “You can even document special features such as garbage deposits or damage to nearby street signs directly in the app.” Kevin is impressed by how intuitively the system works: “Simply select what has been done or if there were any problems. You can even take a photo.”

Back in the office after the assignment on site, the performance and the time required for it can be easily recorded. Mike shows Kevin how it works on the tablet: All he has to do is open his own “timesheet overview”, select the correct items or materials, if applicable, and enter his time. Information about the required vehicles, hand tools, attachments and hazard allowances can also be added. The app synchronizes all data and assigns it directly to the corresponding cost centres. “Analog timesheets are finally a thing of the past” - Mike saves himself an entire day's work each week, during which he had to transfer all employees' timesheets into a digital format. Time that can be used for other tasks now!
A system that convinces: advantages for Lienen
The introduction of digital performance recording in Lienen brings many benefits for the municipality and its employees - including time savings. An entire working day per week, which was previously required for the manual evaluation of timesheets, is no longer necessary. EineStadt also ensures greater transparency: all services and their duration can be tracked digitally at any time - a major advantage when it comes to billing. Users, including Karsten, a middle-aged employee at the Lienen building yard, appreciate the ease of use: “It was unusual at first, but you quickly get the hang of it.” Last but not least, trainee Kevin and many others are convinced by the sustainability aspect: the absence of paper and the optimized planning of work contribute greatly to environmental friendliness in the long term.
The software also offers practical additional functions such as GPS tracking, automatic reminders for tasks and the option to save photos before and after work. “This helps us enormously, especially in the event of complaints,” explains Mike Tschee. “If someone claims that a green space has not been mowed, we can prove it with just one click.”

Lienen shows how digitalization works - an example of success
Mayor Arne Strietelmeier sees the introduction of the app as an important step towards the future: “EineStadt not only makes the work of our employees easier, but also helps us to act sustainably and efficiently as a modern municipality.” The digitalization of performance records was a complete success - and a model that could also set a precedent in other areas.
Kevin Micke is certain: “Digitization is the right way to go. Not only can we make our work more efficient, but we can also make a contribution to the environment.” As he inspects the last green spaces of the day with Mike Tschee, one thing is clear: Lienen is ready for the future - and shows how tradition and innovation can go hand in hand.

The EineStadt system impresses with its ease of use, high flexibility and the ability to use the recorded data directly for analysis and billing.
