- Public Service in the Home Office: Remote Management with EineStadt
Kontaktlose Objektverwaltung und Arbeitssteuerung Digitalization, Covid and Co: Why the Public Sector is suddenly working from home Corona may have been the decisive factor at the time for cities and municipalities to rethink or break up the traditional way of working in the office: This crisis made it necessary for institutions such as the building yard and other public service and municipal administration departments to work from home or remotely. They had to take care to protect themselves and their employees - in order to preserve the health and workforce of the city's employees. For the building yard, for example, this initially meant change: meetings or morning meetings were canceled - how does the building yard management now efficiently distribute tasks? How is work documented if it is necessary to avoid touching folders, files and sheets? How do employees communicate with each other if they are not supposed to "see" each other? Topics such as digitalization, modern working methods, flexible working models and Work 4.0 also require a rethink: More and more traditional professions and areas relating to the public sector and city administration are recognizing the benefits of working from home: working hours are becoming more flexible, commutes are being eliminated, work and family can often be better combined - and so on. City Administration and Public Services working from home: how does it work? Despite the new circumstances, it is important that building yards, public utilities and administrations continue to work in a fail-safe and efficient manner, even when working from home. Citizens' sense of security must be maintained and trust in public institutions must be preserved despite the crisis. The EineStadt maintenance software provides all of this - an application that digitizes public tasks and thus finally enables public services and administration to work from home. When placing an order, the upcoming work can be distributed to all employees who accept the order and confirm it once it has been successfully completed. The building yard management can conveniently track how the tasks are processed and document inspections and maintenance in the EineStadt building yard software. Employees receive the tasks on their cell phone or tablet and can then theoretically start work from home - including recording working hours using EineStadt. This has also brought advantages for the pandemic: contacts at the building yard have been significantly reduced, for example when employees borrow tools from the building yard, so they can work completely autonomously with EineStadt. The documentation of work and inspections is completely paperless in EineStadt, and coordination with colleagues and the allocation of tasks is also possible in the NFC app . EineStadt is the office in your pocket for every local government employee. Are you curious? Read more about the digitalization of municipal utilities with EineStadt here. - Digital Winter Service: Wackersdorf is ready for winter
Current weather models are forecasting cold temperatures again for the coming winter. In many parts of Germany, this means ice and snow - and therefore slippery roads. According to forecasts, the winter road clearance service in German cities will have a lot to do. And Wackersdorf will also have to be reliably cleared and gritted again. For the Bavarian municipality, this means that three Unimogs with snow plows are clearing the larger roads in the districts. Small municipal vehicles are used to clear the smaller streets and alleyways. Bus stops, sidewalks and cemeteries are cleared and gritted by hand. Bauhofleiter Herr Keil im Einsatzfahrzeug Winter Service in Wackersdorf: The path towards digitalization In previous years, Wackersdorf not only had to contend with snow and ice in winter, but also with other typical problems: Documenting the winter service on paper was often time-consuming and complicated. And organizing the trips was also a new challenge every day. As it was not possible to track who was where in real time, it was difficult to determine whether every road had really been cleared. First Mayor Thomas Falter and the building yard agreed that an efficient, digital solution should be developed together. Digitalization also means change, but initial uncertainty has now been dispelled. However, new steps had to be taken, particularly at employee level. In order to eliminate any ambiguity on the subject of data protection, a document was presented to the staff council that made it clear which employee data was being recorded. "The fact that a Winter Service App automatically stops recording when employees leave the road was particularly convincing," says a senior employee, adding: "Ultimately, recording the distance traveled is also about employee safety." EineStadt reliably digitizes the Winter Service in Wackersdorf In the search for a suitable system for winter maintenance, the decision was quickly made in favor of EineStadt, as its application was already routinely used in Wackersdorf by the building yard for the inspection and maintenance of playgrounds, dog stations, seating areas, road damage, green spaces and building inventory. After the license was acquired, the cloud-based system was set up by the EineStadt team . The building yard then received a short, informative training session, after which it was ready to go: a test drive was successfully completed. "The recording of my route works perfectly," says the Wackersdorf depot manager happily during the first drive. The roads that have been driven are shown in green on the clear map; those that have not yet been driven remain red. How the digital Winter Service works in Wackersdorf - (winter)day after day Construction yard employee Mr. Müller pulls out his smartphone while still at home, looks into the EineStadt maintenance software and sees the job that is generated every night around 1 a.m. He looks out of the window. It has snowed a few centimetres and the outside thermometer shows sub-zero temperatures. Today he can't simply ignore the job. He confirms it and informs his employees by phone. By 4 a.m., seven people are on the road. Mr. Müller clips his smartphone into the holder on the windscreen of his winter service vehicle, opens the digital map and presses the "Play" button. All routes in his zone are now displayed in red. He starts his journey and sees how the parts of his route he has driven on turn yellow and then green. "That's how it should be, finally I don't have to remember everywhere I've been," thinks Mr. Müller. During the journey, his location is always visible, represented by a blue dot on the map. The red "Record symbol" in EineStadt pulsates throughout the recording. And the tracking also works offline: as soon as Mr. Müller is back in the reception area, light green lines turn dark green. Read here in detail about the functionality and features of the digital winter service with EineStadt! Easy start, successful implementation - Wackersdorf is delighted with the digital winter service An up-to-date road network from the local surveying office is required for the digital winter service. Employees then only need a tablet or smartphone with Android or iOS, a mount for the windscreen - and a license from EineStadt. And you're ready to go! T. Falter, first mayor of the municipality, is delighted: "The EineStadt app reduces bureaucracy and makes communication and workflows much easier. The versatile options for winter services have convinced us." Have we sparked your interest in the advantages of digital asset management ? - Broadband expansion with fiber optics: VG Lechfeld masters this task digitally
The Bavarian administrative community of Lechfeld has recently embarked on an ambitious project: the nationwide expansion of a future-proof fiber optic network. This ambitious project involves overcoming a wide range of challenges that require precise planning, seamless coordination and careful data management. In the midst of this complexity, the EineStadt maintenance software has proven to be an indispensable tool that not only simplifies the process, but also increases transparency and efficiency. Digital fiber optic network expansion in Lechfeld - a success story! Christian Dobrindt uses EineStadt for planning fiber optic expansion on the PC Planning & managing fiber optic expansion: A major challenge The implementation of a fiber optic expansion in the Lechfeld communities is a complex task and requires coordinated cooperation between various parties. With Telekom as the main player, a contractor planning the construction and connections, and these Bavarian municipalities as the supervisory body, the project dynamics are multifaceted. In addition, the municipal administration decided to carry out the fiber optic expansion in the traditional way and lay fiber optic cables deeper instead of using the less complicated trenching method , which only requires a narrow cut in the street. This approach enables a more long-term and stable infrastructure, but also involves complexities in terms of coordination and implementation. A key to the success of this project is Christian Dobrindt, engineer and employee of the Lechfeld administrative community, whose role goes far beyond administration. He is heavily involved in the coordination and monitoring of the planning and civil engineering measures. His area of responsibility includes checking and approving routes, obtaining traffic regulations and collecting data. He is the person who holds the implementation plans in his hands, takes photos on site and carefully draws in all the details. Solution for reliable project management and documentation Amidst the challenges of the fiber optic expansion project in Lechfeld, EineStadt is establishing itself as a helpful tool for the digital management and coordination of a wide range of tasks. With its intuitive and user-friendly interface, the app is the ideal platform for managing all the relevant data. Every detail of the process - from project planning to the actual execution of the civil engineering work - can be easily and efficiently recorded, documented and monitored in the construction site app . This saves a considerable amount of time, as time-consuming manual tasks such as recording data on paper and a confusing paper trail are finally a thing of the past. However, the EineStadt solution goes one step further: it not only facilitates documentation, but also improves communication between the various parties involved. By providing an interface where all relevant information is available and exchangeable in real time, it enables transparent and coherent communication, which contributes significantly to the smooth handling of the project. The positive experiences with the administration app are far-reaching, especially in the words of Mr. Dobrindt: " EineStadt is revolutionizing the way we coordinate and document our projects. The app is intuitive to use and simplifies our work in many aspects. It not only helps us to maintain an overview, but also to make the entire process more efficient ." Successful use of the app in fiber optic expansion In practice, the app shows its strengths in various aspects of fiber optic expansion. It facilitates an overview of the telecommunications provider's cable laying plans, supports the efficient handling of approval processes and helps to monitor the progress of civil engineering work. In concrete terms, this means that all information on cable laying and alternative routes, including photos and screenshots from the site plan, are stored together in EineStadt. Thanks to clear PDFs, the contractor can access all relevant information, including the traffic order from the road traffic authority, which is also stored via EineStadt. Any deviations from the plan are immediately documented digitally. Once the work has been completed, a note can be entered in the software to confirm that the construction work has been successfully completed. A successful process that is already proving its worth: With EineStadt, the municipalities in Lechfeld have a tool at hand that efficiently and transparently coordinates the entire fiber optic expansion process. Digital dynamics: improving processes and collaboration The use of EineStadt has already had a significant positive impact on the fiber optic expansion of the Lechfeld communities. The application was easy to use right from the start - both in the office and in the field. The construction company on site was impressed by the efficiency with which damage reports and instructions for measures were exported from the app and submitted: a process they had never experienced before in this form. The improved collaboration between the municipality, the telecommunications company and the construction company on site is a significant advantage guaranteed by the use of the app. With its ability to provide all relevant information in real time, the solution can greatly facilitate coordination between the various stakeholders. And that means better coordination, a more effective workflow and improved overall quality and speed of the fiber optic expansion. Mr. Dobrindt, coordinator of the fiber optic expansion for the municipality, emphasizes the advantages of EineStadt for clarity: " If I imagine I had all the photos in my library in an unsorted order, it would be impossible to manage. " The positive experiences with the EineStadt app underline its ability to simplify workflows and optimize communication between the various stakeholders. The application has proven to be a crucial tool for increasing efficiency and promoting collaboration at the same time. Its successful use in the fiber optic expansion in Lechfeld is another good example of how digitalization can change and improve working life. - Digitalization of Municipal Utilities: Stadtwerke Bochum lead the way
Digitization of municipal utilities and municipal administration Digitization of Municipal Utilities: A necessity In recent years, digitalization has affected almost all areas of life and brought about far-reaching changes in the economy, society and everyday life. Municipal administrations, the public sector and municipal utilities as key players in local energy supply are facing particular challenges - but also a wide range of opportunities. The digitalization of municipal utilities and municipal administrations offers numerous opportunities to make processes more efficient, use resources more sustainably and improve customer service. Advantages and challenges of digitizing municipal administration, municipal utilities & public services A digital public administration is a central building block for a modern, efficient and citizen-friendly municipality. It includes the transformation of analog processes into digital workflows, the introduction of new technologies and the networking of various municipal services. This development holds enormous potential: administrative processes can be handled faster and more transparently, citizens have the opportunity to make use of services regardless of time and place, and resources can be used more efficiently. At the same time, however, digitalization also poses challenges for municipal administrations and public utilities. Data protection regulations must be observed, IT security must be ensured and employees must be prepared for the new technologies and working methods. It is also crucial that digital services are designed to be user-friendly and also reach those who are less tech-savvy. This is the only way to make the digital city a success. Digitization of Stadtwerke Bochum Stadtwerke Bochum Netz was looking for a smart solution that would allow them to control and manage various objects. These included the trees on many properties in the city, but also objects from the area of building management, such as roof cable safety devices. Since August 2019, the employees of Stadtwerke Bochum Netz and the building yard have been monitoring various objects using the digital maintenance software EineStadt . A half-day training course by Sebastian Seitz prepared them for field work. Using an app on their smartphones and tablets - these were already available in the companies - the employees now digitally record the conditions and characteristics of trees and cable protections via the NFC app . Digitalization of the city to progress Stadtwerke Bochum Netz's next plan is to use EineStadt to organize the maintenance of the company's own properties in the city area beyond tree control. The project is already underway: "The building yard colleagues and external service providers will then be able to see the list of work such as grass cutting, hedge trimming or leaf sweeping on their devices on site. In addition, findings can be noted directly and processed further by other specialists. For example, if a fence is broken, graffiti is discovered on a house wall or if there is illegal dumping." Together with EineStadt, the city wants to successively identify and implement further use cases. Curious? Contact us for more information or a non-binding online presentation.
- Building Yard Software revolutionizes time and work management in Schwabmünchen
Revolution for time and work management with EineStadt When Hermann Müller looks out over the grounds of his building yard in Schwabmünchen, it is with a satisfied face. He has held the position of building yard manager for seven years now. And a lot has happened during this time. Not only has the number of employees risen continuously. "We have also gained qualified people. We have no shortage of skilled workers," reports the site manager proudly. "A lot has also been invested in the technical equipment of the building yard in recent years," says the 49-year-old proudly. Building Yard Software for a modern municipality At a time when efficiency and optimization are top priorities in all areas of work, the digitalization of operational processes in building yards is also increasingly coming into focus. A maintenance software for the building yard plays a central role in this, as it enables a modern, structured and efficient way of working. By networking information, resource planning and communication, work processes can be optimized, time saved and ultimately costs reduced. Development of the Building Yard Software Solution EineStadt - practical use Tree inspection is currently one of the main tasks - an area in which the building yard and city administration work hand in hand. While the actual inspection is the responsibility of the Parks Department, the building yard often takes care of the implementation of the measure - especially when there is imminent danger. And it was precisely this close cooperation that started the success story of EineStadt many years ago. In Schwabmünchen, the building yard program now manages the following classes of objects: 1,600 items of play equipment, 200 garbage cans, currently 5,279 mapped trees - number rising - and 1,000 street lamps. NFC Technology: How the Software works for the Building Yard How does the building yard program work? All relevant objects are equipped with a maintenance-free NFC tag by employees of the building yard. All the inspector has to do is log in and hold their cell phone up to the tag on the object. The most important basic data, such as the name of the manufacturer and information on the last inspection where no complaints were noted, immediately appears in the EinsStadt NFC app . This wireless method of data transfer between two devices in close proximity - in this case between the tag and smartphone or tablet - is the namesake of the NFC tag, which stands for "Near Field Communication". The inspector then examines the object to be checked with a trained eye and confirms the quick check on his smartphone. Advantages of the Construction Yard Software A comprehensive software solution for the building yard offers numerous advantages that can increase both the efficiency of work processes and employee satisfaction. The central recording and management of all relevant data saves a significant amount of time, as time-consuming manual entries and searching for information in paper-based documents are no longer necessary. The option of real-time updating and access from various end devices also enables a flexible and rapid response to unforeseen events. In addition, a building yard software solution promotes the transparency and traceability of work processes and decisions, which not only provides clarity internally, but is also an advantage when dealing with citizens or other external bodies. The standardized recording of working hours, material consumption and machine use, for example in the EineStadt application as a winter service app , also contributes to improved resource planning and control. Last but not least, building yard software can help to relieve employees by automating recurring tasks, giving them more time for demanding and strategic activities. Curious? - Easily record Tree Populations via App
What do you do with areas full of small, young trees that are not yet relevant for tree inspection? A costly survey of individual trees would not make sense here, or as one would say "is not worth it yet". Ingo Kessler agrees. Nevertheless, he would like to have a tool for planning jobs around young trees - preferably in EineStadt! The tree expert Ingo Kessler therefore approached us with the idea of being able to record tree populations in our application. Complex recording of individual trees - Ingo Kessler sees a solution "The individual recording of all woody wildlings or young trees between the larger trees that have already been recorded is often completely excessive and difficult to communicate, both in terms of effort and financially," reports tree expert Ingo Kessler from his own experience. With his assessment, he was able to make a major contribution to the new application of the EineStadt maintenance software . "The recording of a whole area provides a better overview of the entire tree population and makes it easier to assign measures." Occasionally, measures relevant to road safety may actually be necessary in these areas, such as the removal of deadwood. Sensible measures can also be taken with regard to road safety in the future, e.g. in relation to undesirable developments. Implementation: Wooded Areas are now recorded via App The new method of recording whole tree populations now offers the necessary flexibility to manage young trees and shrubs, their condition and sensible maintenance recommendations using the EineStadt tree inspection software . This allows measures to be planned digitally and clearly - also with regard to the future and the development of the tree population. Anomalies that could affect road safety in the future can also be recorded at an early stage. Ingo Kessler describes the possibilities: "I can combine many individual trees into an area, draw them on the map and then indicate the approximate proportion of tree species - for example: 50% beech, 30% maple and 20% mixed. Measures applicable to the entire area can then be entered, such as training pruning, early clearing, repair work or the removal of tree supports." All of this data can now be quickly recorded digitally in the app in relation to the total area of a stand of trees in the input fields provided - efficiently using pen or voice input. Practical application of recording Tree Populations If, for example, the entire tree population of a residential complex is to be recorded on behalf of a property management company, e.g. for "stocktaking" and the resulting award of a contract, it is not uncommon for there to be smooth transitions between the different sizes of trees and shrubs. In order to avoid the cumbersome and time-consuming task of documenting each small tree individually, the specially developed feature of area recording is ideal. In addition to tree care companies, forestry administrations, building yards and green offices also use the application to manage their forest and wooded areas. The individual adaptability to customers and their wishes makes this digital option for tree maintenance an all-rounder. When recording areas, it is also possible to work without NFC tags and only equip each tree with a tag when it becomes relevant to traffic safety. Other options in addition to Tree Recording The basic functions of the application also make everyday work easier for tree expert Ingo Kessler: "The use of electronic tags enables us to quickly and clearly identify an individual tree. The maintenance-free badge is simply read by touching it with a smartphone or tablet, and the data sheet for the tree in question then opens automatically in the NFC app. New information about each tree can now be entered and transmitted to all users of the system in real time. "As soon as the electronic tag is touched, it can also be proven that I was on site and recorded all the tree data and carried out the regular traffic safety checks," confirms Ingo Kessler. Thanks to automated work documentation and an integrated reminder function for upcoming inspections and maintenance work, it is easier to ensure compliance with road safety obligations. Local authorities and companies are therefore on the safe side. Even external employees can be integrated directly into the software, allowing jobs to be assigned quickly and effectively. If this is not desired, PDF reports can also be easily generated from the system so that a case can still be viewed on paper and the recommended measures can then be decided upon. - Making it easier to record protected animal species: Schwabmünchen now works digitally with EineStadt App
When Thomas Bernert from Schwabmünchens Office for Green and Environment checks the trees, playgrounds and parks of "his" town, he is not always alone: numerous native animal species live, nest and breed in Schwabmünchen, the small town south of Augsburg. But even though the animals are part of the townscape and have a right to exist, they often cause problems. Problems in the town of Schwabmünchen caused by protected animal species " I could fill entire books about how the animals in Schwabmünchen keep me busy year after year ," says Thomas Bernert. This year, he once again encountered two typical problems that many towns and municipalities are familiar with: Rooks , which are under protection, are incredibly clever and sociable animals. However, they are often noisy in their huge colonies, make a racket, sometimes displace other bird species or cause a lot of pollution. This can lead to problems in public areas around playgrounds, cemeteries or hospitals - which the city must now address. One measure could be to remove crows' nests in "critical areas". However, in addition to a suitable climbing company, this requires a special permit from the nature conservation authority or the district office for reasons of species protection. The authorities, in turn, first need important information, such as the number or location of the nests. Protected beavers also cause problems - visible or invisible - especially on rivers and streams. "The animals often build their dams in the most unfavorable places. In the worst-case scenario, the water behind them then builds up into a real lake and causes damage to the urban infrastructure," says Bernert. Of course, a beaver dam cannot simply be removed. The town of Schwabmünchen is obliged to contact a beaver representative and discuss the necessary acute measures with them. For example, if it is a beaver lodge in which young animals are currently living, the lodge must not be touched. Beaver dams that only serve to extend the beaver's territory may be relocated or removed. Digital recording of the problem: How the EineStadt species mapping app makes everyday life easier Thomas Bernert no longer needs pen and paper to document beaver lodges, rook nests, bat nest boxes, etc. Schwabmünchen has been using the EineStadt maintenance software to document all municipal work for a long time - and now also for the management of protected animal species. In the species mapping app , it practically looks like this: A point is recorded on the integrated digital map for each crow's nest, beaver dam and so on. Data fields can now be filled in for each object - for example, the "type of accommodation" of the animal species (burrow, dam, hole, nest...) and its amount, the surroundings (cemetery green, park, playground...), and the traffic safety can be described (given, not given, unsafe, to be proven...). Photos can be attached and a measure suggested - for example, whether an embankment should be removed or lowered. " If I click on the legend menu on the map, I can also display protected areas or biotopes in color on the map. This is particularly helpful when determining the measure s", says Bernert. The system can then send a message to the responsible nature conservation authority. Their employees can then view all the information and images in the app or on the computer and quickly decide whether the proposed measure may be carried out or whether a new measure is recommended. In some cases, the authorities still have to inspect the problem directly on site. As soon as a measure has been released to the city in the system, work can continue directly in the property management software: "I simply place a pin in the map for the building yard or the climber who is to carry out the work," says Bernert with satisfaction. "Once the work has been successfully completed, the pin is simply removed again. That closes the loop." Advantages of digital documentation External employees, e.g. those responsible at nature conservation authorities, can alternatively be provided with PDF reports generated from the system instead of being integrated directly into the software. This allows them to view the case, including photos, on a PC or printed out on paper and then report back the recommended measures. "PDFs are the tool of choice for our responsible nature conservation authority," reports Mr. Thomas Bernert - and now saves valuable time thanks to the simple PDF generation. But not only at the beaver dam - but also for digital tree control , as playground control software or for digital cemetery management : EineStadt scores with numerous advantages: Work and processes are greatly simplified in the long term. Problems can be entered quickly and reliably on a digital map using an app - even by voice input. The ability to involve external users in the process saves the city time and increases transparency in collaboration between specialists. "All of this now works up to five times faster than before, with pen and paper," estimates Mr. Bernert. Legal protection, which is provided by a complete history, is also playing an increasingly important role. Data is recorded and processed simply and consistently, without having to manage confusing tables. Signatures can be added digitally and orders can be distributed and processed in real time from anywhere - even by external companies and partners if required. Details such as a reminder function for upcoming inspections make the system irreplaceable and prevent upcoming inspections from being missed. Last but not least, all data and processes are documented and archived forever. This also means that notes are less likely to be misplaced, lost or only arrive in the right place after a long time. - Digital playground management: NFC tag makes it possible
Thomas Bernert, an employee in the green and environment department of the town of Schwabmünchen, wanted a user-friendly solution via app for inspections and maintenance of playgrounds and the like. That was the starting signal for the "EineStadt" NFC app . And that's how it all came about: How did the app for digital control of playgrounds and playground equipment actually come about? Driving from playground to playground, from tree to tree and from dog toilet to dog toilet with a laptop on the passenger seat in order to record data or compare the condition of the area using a geoinformation system - Thomas Bernert didn't think that was up to date at the time. "We were working with a GIS solution that was quite easy to use, but was only reliable if there was a stable internet connection." In Schwabmünchen, as almost everywhere in Bavaria, this is not the case across the board. "It also bothered me that the system only ran on one computer, so you needed at least one laptop." This problem gave rise to his wish a few years ago: a program for monitoring and maintenance that is not overloaded, but offers all the necessary functions and can be operated on a mobile device. Michael Lodes, who was working as a surveyor for the town of Schwabmünchen at the time, quickly came up with a ground-breaking idea: a maintenance software based on NFC technology. In 2017, "EineStadt" was then ready for use to easily digitize the maintenance, inspection and care of public properties in municipalities. "I had the problems, Michael had the idea for implementation," recalls Thomas Bernert with a grin. NFC tag : ideal for the digital playground "We started with playground equipment in public playgrounds, among other things." These were equipped with NFC tag that contained location data and emptying information. "These public slides, swings and the like were ideal test objects." The NFC tags on individual objects are useful wherever regular checks and maintenance are required and legally compliant evidence is important. Thomas Bernert parks his car at the senior citizens' fitness center in Finkenweg and demonstrates how to use the app. The NFC tag is located on a post at the end of the balancing course. Bernert doesn't just limit himself to a visual inspection, but tries out the course himself. The only thing that sways and wobbles is what is supposed to sway and wobble. At the end, Bernert reads in the tag and notes the inspection - without a work order, as everything is in order. He also sees in the app that the fall protection layer of wood tag, which was too thin during the previous inspection, has been refilled. NFC app for the playground - how it works The maintenance-free NFC technology is suitable for all objects to which a tag can be attached - fastened with a screw, cable tie or as a sticker. In open spaces, these include trees, garbage cans and dog toilets as well as play equipment, while in buildings the spectrum ranges from elevators and air conditioning systems to heating and toilets, fire doors and fire alarms. The correct object, including input fields, opens in the pre-installed browser when the tag is touched with the smartphone or tablet. You can get started right away: Bernert can tick boxes during the inspection, enter problems, take photos or send orders directly to the responsible service provider via the app. Reading the tag on site ensures that employees and companies were actually at the property - and also works without internet access. The recorded inspection rounds and work orders can be called up and printed out as reports in PDF format if required. This means that all inspections and work can be tracked seamlessly - providing legal certainty. And this is how the NFC tags are attached to the playground For example, Thomas Bernert attaches blind rivets - safely and easily: First of all, he has to pre-drill with an awl and hammer so that the hole can be drilled more easily. Mr. Bernert then has to drill a hole - with a diameter slightly larger than the blind rivet itself. Now he can insert the rivet and tag into the drilled hole. Now he can insert the rivet including tag into the blind rivet pliers. The mandrel is gripped with the appropriate mouthpiece and the lever is then actuated. Blind rivets are used wherever tags cannot be screwed in. Tags for screwing are easier to install, e.g. on wooden or plastic play equipment. Further advantages of NFC technology in the playground Weekly visual inspections can be documented very easily by simply holding the cell phone to the tag, thus generating proof that someone was on site. The tag can either be attached to each individual piece of play equipment or just to the playground entrances. Quarterly checks are also carried out using the tags. The inspection is more in-depth and details are checked - simply and accurately with the help of an inspection protocol tailored to the playground equipment in the app. Annual main inspection: Carried out by a third-party service provider, an expert. These can be integrated into the application so that the results always remain in one system - including photos and recommended measures. Find out more about the playground control app here! - Digital management of objects in the water network: EineStadt makes it possible
A reliable water supply is the key of our daily lives. Fresh, clean drinking water from the tap is taken for granted. However, in order to guarantee this on a permanent basis, local suppliers are called upon to work around the clock. Water management is one of the most important public tasks. For waterworks, municipal authorities and the like, however, there is a great deal of organization, control and maintenance behind the smooth running of an entire city's water supply. Water management with EineStadt This is exactly where EineStadt comes in. The maintenance software offers the opportunity to optimize and digitalize work processes related to water management. With the help of the ultra-modern app, the maintenance of properties is completely digital and guaranteed to be legally compliant. The system uses the principle of "near field communication" for this purpose. All data is stored in the system via a tag attached to the property and can then be accessed and processed from anywhere. And the best thing is that this modern step towards digitization is neither unaffordable nor cumbersome or even technically complex. How exactly does the system work? NFC tags specially developed for digital water management are attached to all objects and can then be read by any smartphone or tablet. All you have to do is hold the mobile device close enough to the tag. In the case of hydrants, for example, a waterproof tag is attached to the street cap. During an inspection, the inspector then holds their cell phone up to the NFC tag and the hydrant data, such as the year of construction, is immediately displayed in the app. The current status can then be recorded in an intuitive input form by ticking the appropriate box or upcoming tasks can be assigned directly. Any defects can be recorded directly on site using photos. It also ensures that the inspector was actually at the property, as lids or flaps first have to be opened in order to read the NFC tag. You can find all the information about the technology and benefits behind the NFC app here ! Water management with EineStadt in practice Hydrants, meters, gate valves, manholes, flaps, house connections and many other objects can be tagged and managed using the app. The respective object is briefly touched once with a waterproof smartphone on the telescopic rod during the inspection. EineStadt does the rest in the background: " Sabine Müller was at hydrant no. 123 on 01.03.2024 at 12:32 and flushed it ". The system not only helps to maintain the network objects; it also uses reminder functions to ensure that regular checks are carried out and that water levels and groundwater levels, for example, are documented. In an emergency, the fire department can also find hydrants more quickly on the digital map - this detail may be crucial in the event of a fire. Other functions and the mapping of wells, taps or vent valves, for example, are also conceivable. The app can be expanded as required! What are the advantages of water management with EineStadt? From the outset, great importance was attached to ensuring that employees without extensive technical experience can also work with the system. The app is designed to be intuitive and simple; complicated maps or confusing lists are finally a thing of the past with the move towards digitalization. Any defects and faults on objects can be documented on site simply by voice input or with a photo. Regardless of whether it is a meter or a gate valve: in the EineStadt system, every object can be digitally recorded, including its position and height, and can later be precisely located on the integrated digital map. Pending orders can be assigned directly via the system - even to external users. Reading the tags on site always ensures that employees and companies were actually at the property. If, for example, an order is placed to clean the local manholes, it can be determined exactly whether the cleaning company has already visited all the manholes. And if required, reports can even be saved as PDFs or printed out. Processes are greatly simplified in the long term and legal protection, which is provided by a complete history, is also playing an increasingly important role. Details such as a reminder function for upcoming inspections make such a system irreplaceable and prevent upcoming maintenance from being missed. The town of Schwabmünchen and many other towns in Germany are already leading the way - and are delighted with the modern work processes. "... it really puts an end to the paperwork " says Thomas Bernert, who has been using EineStadt for public work in "his town" for five years now. Digitalization is our future - also in water management. Find out more about the water management app here ! Have we sparked your interest in the benefits of digital management ? - Manage objects in the wastewater network digitally - simple & legally compliant with EineStadt
The small Bavarian town of Schwabmünchen is a major pioneer when it comes to managing its wastewater network properties: back in 2017, the town launched a digitalization project together with its waterworks and sewage treatment plant. Data collection, maintenance, servicing, documentation - simply all the work that takes place around the properties concerned was meant to be digitalized, making it more modern, simple and guaranteed to be legally compliant. Wastewater management in Schwabmünchen with EineStadt Schwabmünchen uses a simple idea: instead of numbered badges, robust NFC tags are attached to the objects. When an employee touches the tag with their cell phone, properties or measures for the property can be called up immediately. The whole idea is based on the EineStadt maintenance software , which enables data to be networked and managed as an app on any device. To date, the town of Schwabmünchen already controls around 3,650 manholes using the app. How exactly does the administration work with the system? EineStadt offers a holistic solution for the digital management of properties in municipalities and other areas. In principle, the NFC app can be individually adapted to any situation. By specializing in urban wastewater management, the system has become even more attractive in recent years. EineStadt can be used here as an independent management tool, but can also be used as a supplement to existing systems, such as a GIS for the field service. Data exchange is straightforward via an interface and existing background maps can be easily integrated into the system. From the outset, great importance was attached to ensuring that employees without extensive technical experience can also work with the software. By simply touching the tag with any smartphone or tablet, they can now view the property data immediately and process it seamlessly and legally securely by documenting their activities. Defects and faults can be easily documented on site by voice or with a photo. A measure is then simply created and either an employee or an external company is commissioned to rectify the defect. Once this has been done, feedback can be given directly via the app. The current status can be planned and checked on a clear map on the computer in the office. The entire workflow is therefore digitally mapped in one system. Digital wastewater management with EineStadt in practice Manholes, road gullies, rainwater downpipes, water inlets, structures, pumping stations and numerous other objects can be managed tagged or untagged via EineStadt. The system supports the maintenance of manholes and connection points in all drainage systems and allows photos and inspection videos from handheld cameras or professional camera inspections to be stored. The documentation of the various work steps in particular can be easily and seamlessly ensured: The monitoring of meters and the regular entry of all values from pumps and jet aerators, power consumption and flow rate must be carried out regularly in pumping stations. The system also digitally documents problems such as rat infestation, defective risers or manhole channels or the simple absence of buckets or dirt traps. Advantages of digital wastewater management Processes are greatly simplified in the long term and legal protection, which is provided by a complete history, is also playing an increasingly important role. Opening via NFC tag makes it possible to identify every object without confusion. Data can be recorded and processed easily and consistently without having to manage confusing tables. Signatures can be added digitally and orders can be distributed and processed in real time from anywhere. Details such as a reminder function for upcoming inspections make such a system irreplaceable and prevent upcoming maintenance from being missed. Pending jobs can be assigned directly via the system - even to external users. Reading the tag on site always ensures that employees and companies have actually been at the property. If, for example, an order is placed to clean the local manholes, it can be determined exactly whether the cleaning company has already visited all the manholes. And if required, reports can be saved as PDFs or printed out. The town of Schwabmünchen is leading the way and is delighted. Other local authorities and companies are already using the system and have tagged several tens of thousands of properties, including water system separators, water meter shafts, water main valves and house connection valves. The future lies in digital management - and the possibilities are endless! Find out more about the wastewater management app here ! - Manage litter bins & dog toilets digitally: Swiss City Muri bei Bern uses EineStadt
A picturesque Swiss municipality where tradition meets innovation - at least when it comes to the public work involved in refuse collection and waste management: In Muri-Gümligen near Bern, a town in the administrative district of Bern-Mittelland with around 13,000 inhabitants, E. Bigler Transporte AG shows how modern technology can be used to make public work more efficient. The traditional company, which will be celebrating its 100th anniversary in 2025, is a real role model, and not just when it comes to ambitious sustainability goals such as the operation of electrically powered refuse collection vehicles and the planned use of wind energy. Under the leadership of Reto Lauper, who has been in management for 12 years, the company has now introduced the EineStadt digital trash can app to monitor and empty over 200 waste garbage cans and dog toilets. Automated documentation of public works - day by day Daniel Hadorn , a long-standing employee of E. Bigler Transporte AG, has experienced the digital transformation at first hand. Having worked for the company for 30 years, he sees the introduction of the EineStadt administration software as a significant improvement in his day-to-day work. Every morning, Daniel starts his shift by coming into the office, grabbing one of the company smartphones, logging into the clear EineStadt app and digitally accepting the order assigned to him. Thanks to the software, the jobs are automatically generated on a daily basis and are based on actual needs, which increase in summer in particular, for example when the public squares along the Aare are more frequented. “ It used to be pure chaos ,” reports Reto Lauper, who, as the 4th generation Managing Director, wants to keep optimizing the business - and has to identify weak points to do so. “We had an analog road map - control-relevant points as colored dots on it. It was difficult to keep track of who had done what.” Today, the EineStadt maintenance software shows users exactly which litter bins and dog toilets need to be emptied in their area of responsibility. This means that employee Daniel knows exactly what needs to be done, can plan his route optimally and the app automatically tracks his activities via GPS. “Sure, there's more control now than before. But - the work just runs better this way,” he says. Daniel and the rest of the team agree: nobody feels personally controlled here; the employees pull together - and in addition to a better overview, they now also have tangible proof that they were actually at the object relevant to the inspection. More efficiency & transparency through digital tracking The introduction of digital trash and dog toilet monitoring has not only changed Daniel's day-to-day work, but has also improved the efficiency of the entire operation. Before using the management software, the daily routine was: just do it. This was a disaster, especially for new employees, but also in terms of documentation. Often nobody knew which areas had already been approached, which waste bins had been emptied or not and where the employees were currently located. Now there is structure and clarity - the new overview ensures that effort is reduced and all tasks are completed effectively and efficiently. In concrete terms, this now works by using GPS tracking to track which object has been approached and “processed”. The tracking is programmed in terms of location and time so that an emptying is detected. The smartphone or tablet running EineStadt only needs to be in the vicinity of the object for long enough. “Sometimes I take the smartphone with me if the bin is too far away from the vehicle,” explains Daniel, ”but most of the time I can leave it in the vehicle as the app reliably recognizes the object.” Data protection is a top priority Reto Lauper is also enthusiastic: “ Working with EineStadt works so well now , we are really satisfied.” Thanks to the application for digital management of public properties, everything can also be documented and justified. The combination of robust NFC tags and digital mapping software ensures that every step is documented. To ensure that employees do not feel monitored, a mechanism has been integrated into the software that only saves the location if the employee moves a few meters away from the waste bin. As soon as the employee leaves the radius of the bin, the location is no longer recorded, for example if they drive to a supermarket parking lot during their lunch break. The digital transformation is convincing - and provides evidence in the event of complaints Reto Lauper & Sandra Reindle Sandra Reindle, Waste Operations Manager, has been with the company for seven years for good reason: In addition to the exemplary female quota of 50% for drivers that E. Bigler Transporte AG fulfils, Sandra also appreciates the benefits of digitalization in the company . “It happens again and again that people have the feeling that the waste bin hasn't been emptied just because it might already be full again - and they complain. Especially in summer, but also because consumption continues to rise, this happens quickly. Thanks to EineStadt, we finally have proof - now we can say: Yes, it was emptied today at 11 a.m. by employee so-and-so,” she explains. Initially, the team may have had to get used to the new “control”, but Sandra emphasizes that this is necessary and helpful in the working environment. “The boss is allowed to know what you're doing. You really don't feel personally controlled,” she adds. Reto Lauper The concrete advantages for Reto Lauper and his team are obvious : complaints from residents can now be answered with concrete data. And figures and arguments can now also be disclosed to the city in a well-founded manner - whether for statistics or for negotiations. “There is finally proof and a basis,” emphasizes Lauper. New staff can also familiarize themselves much more quickly and understand what needs to be done, as the structure is clearly defined. In short, digitalization means progress in all situations. A “paper trail” is no longer up to date - and the municipal waste disposal company is now finally on the safe side legally. Digital planning & optimization of routes The digital application not only records the emptied waste bins and dog toilets, but also offers a comprehensive solution for optimizing route planning and resource management . Better route planning can minimize the distances travelled by refuse collection vehicles - which can ultimately lead to a reduction in fuel, energy and emissions. Last but not least, EineStadt also offers the option of real-time monitoring. Employees can track their routes in real time and report any problems immediately in the app. Conclusion: Sustainable future prospects through digitalization The digital monitoring of waste bins and dog toilets in Muri bei Bern is a prime example of how technology and tradition can go hand in hand to promote efficiency and sustainability. Thanks to tracking with EineStadt, employees as well as citizens and the municipality itself benefit from a clean and reliably managed environment. The software makes it possible to plan and execute tasks precisely, which reduces the workload and increases staff satisfaction. Digital documentation means that complaints from residents can be processed more quickly and effectively, which strengthens trust in municipal services. Public administration is also already benefiting from the advantages offered by the EineStadtsoftware: Numerous building and depots are already using the system to optimize their internal processes in times of a shortage of skilled workers. E. Bigler Transporte AG shows how digitalization can bring practical benefits in everyday life that go far beyond simply increasing efficiency. Thanks to its innovative approach and the integration of such management software, the company is ideally equipped to successfully shape the next 100 years. Muri bei Bern is an example of success - and a pioneer for many other cities, municipalities and companies in the D-A-CH region that want to take a step towards digitalization!
